REFUND POLICY

Membership Refunds

You can request a refund only for a membership that has been purchased at the Recreation Office.

Refund request

Your refund request, which requires approval by Recreation administration, must be accompanied by documentation, such as but not limited to:

  1. Receipt of written medical recommendation from a doctor
  2. Written appeal that outlines the condition or set of circumstances that would prevent you from participating in SFU Recreation activities

You can submit the request:

  • In person at the Recreation Office, or
  • Via email: rec@sfu.ca

Refund amount

With such documentation, a pro-rated refund (less a 15% administration fee) will be granted upon approval by Recreation administration.

Exclusions

Students who have been assessed the Recreation & Athletics fee through their tuition or staff and faculty who receive membership as part of their benefits are not subject to refunds. 

Program Refunds

This refund policy applies to all recreational programs, group fitness pass and mind, body, spirit pass.

This refund policy applies to all recreational term programs, recreational classes, group fitness passes, pilates passes and mind body spirit passes.

Refund Request

To request a program refund, you must send us a cancellation request by email. The refund amount depends on when we receive your request.

  • For refund requests received 5 or more business days before the program start date, a full refund less a 15% admin fee will be issued.
  • For refund requests received less than 5 business days before the program start date, a refund, less a 15% admin fee may be considered based on the following: 
    • With receipt of written medical recommendation from a doctor
    • With receipt of written recommendation from Recreation Administration detailing why the program is unsuitable for the participant.
  • SFU Recreation reserves the right to cancel any course, program, activity or class due to low registration, unforeseen circumstances or conditions that make any such activity unsafe.  
  • In the event that we do not meet the minimum number of participants required to run the program, or if the entire program cannot be run safely, we will offer refunds in full.

Personal Training and Private Swimming Lessons

Refunds must be approved by Recreation Administration.

Program Flex Pass

Program Flex Passes are non-refundable and expire at the end of the term.

Student Sport Clubs

All sport club fee refunds must be approved by Recreation administration. $10.00 sport club fees are non-refundable.

Intramurals

Teams that have paid a fee to play in a competitive league are eligible for a refund if either the league has been cancelled or no games have been scheduled for their league. They will receive a refund in the amount that they paid. The League Managers and Recreation Coordinator have final authority over all aspects of any intramural activities.

Camps & Clinics

A refund may be considered based on the following: 

  • Receipt of written medical recommendation from a doctor (minus 15% administration fee per program)
  • Receipt of written recommendation from the Camps Manager detailing why the program is unsuitable for the participant.

Refund will be calculated based on the number of days the participant attended camps (minus 15% admin fee). 

Other details 

  • We will consider program transfers, depending on course registration. A $5 transfer fee may apply. 
  • If participant withdraws one or more weeks prior to start date, a full refund (minus the 15% admin fee), will be issued. 
  • If participant withdraws less than 5 business days prior to start date, no refunds will be issued. 
  • SFU Camps reserves the right to cancel a program up to one week prior to start week, or if the program cannot be run safely. In this case, fees will be refunded in full.
