Board Submission Instructions
Faculty, staff, students, alumni and members of the public are all invited to engage with the Board of Governors.
To see what is on the agenda for an upcoming Board meeting, you can visit the Meeting Agendas, Minutes and Reports page. Agendas are typically released one week before the Board meeting.
Please note that while the Board Chair will carefully consider all proposals for agenda items and speaking requests, due to time constraints, only a limited number will be slotted to the Board agenda. For more information about speaking to the board, please see the guidelines for attendees.
Propose a new agenda item
If you would like to suggest a new agenda item, please send an e-mail to the Board Office at board_admin@sfu.ca with the following information at least 4 weeks before the next Board meeting:
- Your Full Name
- Your affiliation to SFU
- Any groups or organizations you are affiliated with, related to the proposed agenda item
- Name of your proposed agenda item
- The month you would prefer the item to be presented
- Reason(s) why this item should go to the Board, including a description of why this item is being brought to the Board for consideration and what is being asked of the Board
- Background, including any relevant history, if this item has come before the Board or committee in the past, recent developments, why this should be discussed now
- Issue or Opportunity summary, including how it is impacting SFU and/or the community, what are the risks if it is not addressed, and what options (if any) have been considered
- Wherever possible, please use facts and figures, such as quantitative or qualitative data
Speak to an existing agenda item
If you would like to request to speak to the Board about an existing agenda item at an open meeting, please contact the Board Office at board_admin@sfu.ca with the following information at least 3 days before the Board meeting:
- Your full name
- Your affiliation to SFU
- The agenda item you wish to speak on
- Reason(s) why you wish to speak on this item, including any professional expertise or lived experience
Submitting on behalf of your portfolio
If you are an SFU faculty or staff member and would like to submit an item which has already received approval from the President or a Vice-President, you can access the Board submission form by logging in with your SFU computing ID.
