Description, purpose and use of records
Records created and used to support the activities and deliberations of the various committees established by Senate. Includes committees with delegated Senate authority as well as advisory committees. Records include minutes, agendas, correspondence, reports, supporting papers. The records are grouped by committee and arranged chronologically by meeting date.

Retention rationale
The records created by Senate committees document their activities and deliberations, and are valuable for documenting academic governance at the University generally; therefore, these records should be retained permanently.
Retention and filing guidelines
Each committee should clearly designate which member (typically the Chair or Secretary) is responsible for maintaining the official records of the committee (as opposed to the copies of committee records which may be distributed across campus).
