DART data entry guidance

This page contains field-by-field guidance for data entry in DART when creating a Transfer Package. Not all fields appears on all Transfer Profiles.

Note on fields and field names

The DART interface presents a number of fields for users to enter contact and descriptive information. Fields differ slightly depending on the SFU Transfer Profile you are using. The data entered in these fields is written to a bag-info.txt file that is included in the Transfer Package (bag).

Field names in DART follow the BagIt File Packaging Format specification and are not always intuitive for users. This page (and the help popover text in DART) provides explanations for each field.

Packaging page

The following fields appear on the Packaging page.

Package Format

  • Select "BagIt" (no other choices).

BagIt Profile

  • Select the SFU Transfer Profile you uploading when installing the app, e.g. "SFU university records tranfser".
  • Do not select "Empty Profile."
  • The app ships with three pre-set profiles, "Empty Profile", AP Trust" and "Beyond the Repository" – do not use these.
  • The "Beyond the Repository" profile can be deleted (but the other two cannot) - see instructions on the SFU Transfer Profiles page.

Serialization

  • Your only choice is to select ".tar".
  • This setting causes DART to output your Transfer Package as a compressed .tar file, which is the only way in DART to preserve your files' original timestamps (files in unserialized bags will get a new date-created timestamp).

Package Name

  • Enter the Transfer Number you received from Archives.
  • The name of the the Transfer Package output by DART will be whatever you enter here + ".tar".

Output path

  • The location on your computer to which DART will create your Transfer Package.
  • The default is a folder called DART in your Home/Documents directory.
  • You can specify some other location for this particular job by editing this field; or you can change the default value (for this and future jobs) by editing Settings > Application Settings > Bagging Directory.

Bag Metadata page

The following fields appear on the Bag Metadata page. Some fields have default values or values automatically calculated by DART; these will only be visible if you click the Show All Tags button.

Bag-Count

  • Use if you are creating several Transfer Packages as part of a single transfer.
  • E.g. "1 of 3"; give bag number + "of" + total bags ("N of T").
  • Can be left blank if you are transferring only a single package.

Bag-Group-Identifier

  • Transfer Number supplied by Archives.
  • Contact the Archives before transfer to obtain authorization and a Transfer Number.

Bag-Size

  • Calculated automatically by DART; cannot be edited.
  • Represents the size of the Transfer Package.

Bagging-Date

  • Automatically supplied by DART; cannot be edited.
  • Represents the date the Transfer Package was created (content bagged).

Bagging-Software

  • Automatically supplied by DART; cannot be edited.
  • Represents the software used to create the Transfer Package.

Collection-Notice

  • Appears in SFU Transfer Profiles for non-university records (i.e. transfers of personal archives or non-SFU organization records).
  • Text can be viewed only by clicking the Show All Tags fields and hovering over the blue question mark icon.
  • For text, see the Create Transfer Packages with DART page.

Contact-Email

  • Mandatory field: email address of the contact person.
  • Used by the Archives in case of follow-up with any questions about the transfer.
  • For transfers of university records, should an SFU email address.

Contact-Name

  • Mandatory field: name of the contact person.
  • This should be the person responsible for the contents of the transfer and the person with whom the Archives can follow-up with questions about the transfer"

Contact-Phone

  • Phone number of the contact person.
  • Used by the Archives in case of follow-up with any questions about the transfer

Contact-Position-Title

  • Contact's job title within the university or non-SFU organization.

External-Description

  • Brief description of the contents of the transfer.
  • Do not include any personal information of identifiable individuals in this field.

External-Identifier

  • Use if your department or organization has assigned its own unique identifier for the transfer.
  • Leave blank if not applicable.

Organization-Address

  • Used only on the SFU Transfer Profile for university records.
  • Select the SFU campus on which the department is located.

Payload-Oxum

  • Automatically calculated by the app; cannot be edited.
  • Represents the "octetstream sum" of the payload (contents transferred).
  • Intended for the purpose of quickly detecting incomplete bags before performing checksum validation.

RRSDA

Source-Organization

  • For university records: name of the SFU department or unit whose records are being transferred.
  • For non-SFU records: name of the organization whose records are being transferred.

bagit.txt section fields

If you click the Show All Tags button on the Bag Metadata page, two fields are available in the bagit.txt section.

Bag-It Version

  • The version of the BagIt specification followed by the Transfer Package.
  • Should be "1.0" (default value set by all SFU Transfer Profiles).

Tag-File-Character-Encoding

  • Character-encoding used in the Transfer Package.
  • Should be "UTF-8" (default value set by all SFU Transfer Profiles).
