Transition to SFU Groups

Please review and address the steps below by October 31, 2024 to avoid any interruptions in access to AEM Author or difficulties changing who can edit your website.

Later this year, SFU Groups will replace SFU Maillist as the platform to manage AEM Author, FormView and Restricted Page Viewing access. SFU Groups (powered by Grouper) will become SFU’s single place where all access control groups’ membership can be edited and viewed. 

To help with this transition, all site owners and managers should follow this 3-step process:

1. Maillist verification

  • Visit maillist.sfu.ca and select "Find maillists owned/managed by me".
  • Check each maillist starting with "cms-" and verify the following:
    • If any maillists are no longer required (e.g., read-only), please fill out this form to request their deletion.
    • If you still need all your maillists, proceed to verify ownership.

2. Ownership verification

Ensure that the person currently responsible for the website is listed as the owner of the maillist. After the transition, only the owner can control AEM Author access; maillist "manager" permissions won't carry over to SFU Groups. 

  • If the maillist ownership is incorrect, please update the following:
    • The current owner can pass ownership to another user, which is finalized when the new owner accepts the ownership.
    • If the current owner isn't at SFU anymore, a department/unit director should request the ownership change by filling out this form with the maillist name and both the current and new owner's SFU IDs.
  • If the maillist ownership is correct, proceed to verify how the maillist is used.

3. Maillist use verification

Ensure that your "cms-" maillist is only used for AEM Author access:

  • If you're using your "cms-" maillist for reasons other than AEM Author access, set up a new maillist and copy over the membership.
  • Any "cms-" maillists not linked to current AEM websites will be removed from SFU Maillist by November 1, 2024.

We will reach out to the audited site owners in the second week of November with instructions on how to populate groups and update Restricted Page Viewing.
